Why Your E-commerce Store Needs a Refund Policy

If you sell products or services online, a Refund and Return Policy isn’t just good practice — in many countries, it’s legally required. Here’s why it matters and what yours must cover.

What is a Refund Policy?

A Refund Policy (or Return and Refund Policy) is a statement that explains to customers what happens if they want to return a product or request a refund. It covers:

  • Which products are eligible for returns
  • The timeframe for requesting a refund
  • The condition products must be in
  • How refunds are issued (original payment method, store credit, etc.)
  • Who pays return shipping costs

Why Your Store Legally Needs One

EU Consumer Rights

Under EU consumer law, buyers have a 14-day cooling-off period for distance purchases (i.e. online). You must clearly communicate this right. Failing to do so can extend the right to 12 months.

US Consumer Protection

While the US doesn’t have a federal refund law, the FTC’s “Mail or Telephone Order Rule” applies to online sales. Many US states also have specific requirements. Importantly, if you don’t display a refund policy, customers may assume an implied right to return.

UK Consumer Rights Act

UK customers buying online have a 14-day right to cancel and 14 more days to return goods after cancelling.

Payment Processor Requirements

PayPal, Stripe, and major credit card processors require merchants to display a clear refund policy — or risk chargebacks and account suspension.

Platform Requirements

Platforms like Shopify, WooCommerce, and Etsy strongly recommend a visible Refund Policy on your store.

  1. Return eligibility — which items can be returned (new, unused, unopened, etc.)
  2. Return window — how many days after purchase
  3. Refund method — full refund, partial refund, store credit, or exchange
  4. Return process — how to initiate a return (contact email, RMA form, etc.)
  5. Shipping costs — who pays for return shipping
  6. Non-returnable items — digital downloads, perishables, personalised items
  7. Processing time — how long refunds take to appear

Handling Digital Products

Refund policies for digital products (software, ebooks, courses) are different from physical goods. Digital products are often non-refundable once downloaded, but you should state this clearly — and be aware that some payment processors still require a refund pathway.
